The website www.varkeyfoundation.org (the “website”) is owned and operated by the Varkey Foundation (“the Foundation”, “us” or “we”), a company registered in England and Wales with company number 7774287 and a charity registered in England and Wales with charity number 1145119, whose registered office is Oakwood Estate, Chertsey Road, Windlesham, Surrey, GU20 6HY, UK.
The Foundation is committed to protecting and respecting your privacy. This policy sets out the basis on which any personal data we collect from you, or that you provide to us, will be processed. By using our website or providing us with any personal information, including sensitive information you agree to your personal information being used and stored in the manner set out in this policy. We may update this policy from time to time without notice to you, so please check it regularly.

(c) you take part in our conferences and events (for example the Global Teacher Prize or the Global Student Prize, either as an applicant or nominee or as a judge), forums (for example the Global Education and Skills Forum) or surveys;

(e) you apply for the Global Teacher Prize or the Global Student Prize;
(f) you contact us with enquiries or other correspondence or becoming involved with us in another way (including via social media such as Facebook or Twitter).
Information we receive from other sources
2.2 We may receive information about you if you use any of the other websites we operate (for example http://www.globalteacherprize.org/).
2.3 Your information may be shared with us by third party organisations. They will do so pursuant to their own policies on data protection and privacy. It’s a good idea to check their privacy policy when you provide your information to understand fully how they will process your data. Any information we receive about you from a third party will be treated in accordance with this policy.
3 Information we collect about you
3.1 The information we collect and process about you in the ways mentioned above include personal information such as:
(a) your name, address, email address, photograph and other contact information (including details of your social media accounts/profiles);
(b) information you enter onto our website;
(c) records of your correspondence with us, if you have contacted us;
(d) information about your past and current employment
(e) details of your contact with us, including its frequency;

(g) references or testimonials from high achieving students, peers, principals in relation to the Global Teacher Prize or the Global Student Prize; and
(h) details of your visit to the site
3.2 When applying for the Global Teacher Prize or the Global Student Prize, you may also provide us with sensitive personal information, for example information about trade union affiliations or information provided in Disclosure and Barring Service (DBS) checks. We also collect dietary and travel preferences to facilitate your attendance at our events and programmes and this may include information about your health (for example any allergies). Except where permitted by law, we will never collect personal data about you without your consent.
4 How we use your information
4.1 We will process your personal information, in accordance with our obligations under applicable data protection laws and regulations, for the following reasons:
(a) to provide you with the information or services you have requested;
(b) to comply with applicable laws and regulations, and requests from statutory agencies;
(c) for our internal administrative purposes, including the facilitation and operation of our events, training and programmes (including the administration and judging of the Global Teacher Prize or the Global Student Prize;
(d) to provide you with information about us, our services and programmes and any other information that we provide or provide access to;
(e) to ensure that content from our website and social media is presented in the most effective manner for you and your computer;(f) to send you (and others) marketing communications about us, our services and our events;
(g) to carry out our obligations arising from any contracts entered into between you and us: and
(h) to provide you with App services associated with our events, including storing your name and photo which will be made available to other delegates. Other delegates will be able to contact you through the App but the Varkey Foundation will not share your email address with other delegates. If you do not wish people to contact you via the App you can change your preferences in the App, or let us know by contacting us on the details below.
4.2 Whilst generally we will seek consent at the point of collecting your data, in some cases we may process data without consent when we are legally allowed to do so i.e. where it is in our legitimate interests and provided we respect your rights.
4.3 You can withdraw your consent at any time. If, at any time you do not wish to receive further information about us and our services (including fundraising materials), or you wish to change your contact details or preferences, contact us using the contact details below.
4.4 If you request to receive no further contact from us, we will keep some basic information in order to avoid sending you unwanted materials in the future, and to ensure that we do not accidentally store details for the same person multiple times.

5 Where we store your personal data
5.1 The data that we collect from you may be transferred to, and stored at, a destination outside the European Economic Area ("EEA"). It may also be processed by persons operating outside the EEA. If we do send your personal data outside the EEA we will take reasonable steps to ensure that the recipient implements appropriate measures to protect your information. By submitting your details you agree to this transfer.
5.2 Where we have given you (or where you have chosen) a password, user identification code or any other piece of information as part of our security procedures to enable you to access certain parts of the website where access is restricted, you are responsible for keeping this information confidential. We ask you not to share this information with anyone.
5.3 The transmission of information via the internet is not completely secure. Although we will do our best to protect your personal data, we cannot guarantee the security of your data transmitted to our site; any transmission is at your own risk. Once we have received your information, we will use strict procedures and security features to try to prevent unauthorised access.
6.1 We may participate in Facebook’s “Custom Audience” program which enables us to display ads to our existing supporters when they visit Facebook. We provide personal information such as your email address to Facebook to enable them to determine if you are a registered account holder with Facebook. Our adverts may then appear when you access Facebook and on your Facebook feed. Your data is sent in an encrypted format that is deleted by Facebook if it does not match with a Facebook account. 6.2 We use external companies to collect or process data on our behalf. Some of these suppliers run their operations outside the European Economic Area (EEA). By submitting your personal information to us you agree to this transfer, storing or processing at a location outside the EEA.
6.3 We may disclose your personal information to third parties if we are under a duty to disclose or share your personal data in order to comply with any legal obligation, or in order to enforce or apply any agreements, or to protect the rights, property or safety of the Foundation (including its staff) or others.
6.4 If we were to merge with another charity or restructure, we may share your personal information with the other entities involved in the merger/restructure for that purpose.
7 Keeping your information up to date
7.1 We want to make sure your personal information is accurate and up to date. You may ask us to correct or remove information you think is inaccurate by contacting us using the contact details below.
7.2 Where possible we may use publicly available sources to keep your records up to date.. We really appreciate it if you let us know if your contact details change.
